Minutes of the Annual General Meeting of Unit 194

In Halifax, November 12^th, 2011

Present: Karl Hicks, Dan Landry, John Tolson, Bill Halliday, Doug Hamilton, Bilgin Batman, Terry Shaw, Lydia Prange, Bill Knoll, Kerry Hicks, Linda Tuff, Carol Weir and Edgar Blinn.

The meeting was called to order at 11:15 by and it was noted that there were at least 10 members present to satisfy the quorum requirement to start the meeting.

The Minutes from the previous Unit 194 General Meeting (13-Nov-2010) and the Auditor’s (Gerry Callaghan) Report for the year ending 31-Oct-2010 were circulated.

The Minutes from the previous Unit 194 General Meeting (13-Nov-2010): were moved as circulated by Dan Landry seconded by Bilgin Batman.  Motion Carried.

The Auditors (Gerry Callaghan) Report for the year ending 31-Oct-2010: was presented by Bill Halliday.  The audited report was moved as circulated by Dan Landry seconded by Bilgin Batman.  Motion Carried.

Business Arising from Minutes:

New Business:

• Tournament Schedules
• Newfoundland Biannual Tournament – 1^st weekend in August
• New Glasgow – alternate year with Newfoundland

Bill Halliday recommended that we grant St, John’s a sectional tournament every other year in August and the alternate year in New Glasgow. No motion required. This will be on a trial balance.

• Bridgewater to award three free plays for CanAt’s

• Change in Bylaws
• Section 9.2 – Be it resolved that Section 9.2 to be changed to read “Each member of the Executive shall hold office for two years, or for a longer period if re-elected.”
• Section 10.2 – Be it resolved that Section 10.2 be changed to read “ The executive shall hold not less than three Executive meetings annually.

Motion by Bill Halliday that Section 9.2 and 10.2 be changed as noted. Seconded by Bill Knoll. Motion carried.

• The nominating committee presented the following slates for the Unit Executive and Area Representatives.

A request for nominations from the floor was then offered to the general audience and with Linda Tuff nominated from the floor; Doug Hamilton withdrew Glen Dexter’s name. The above slate of officers was accepted.

• The scent free policy for sectionals is now in effect. Scent free notices are up.

• Appointment of Auditors – Motion by John Tolson that Gerry Callaghan be appointed auditor for the 2011/12 year. Seconded by Dan Landry. Motion passed.

• Bidding boxes and cards to be replaced prior to the February Sectionals, if necessary. Cards – 30 dozen decks of cards will be purchased (includes 12 dozen as spares). In addition, 600 pass cards and 200 1 club cards to be purchased.

• Setup of tournament site – the director will no longer set up the tournament site. Each Tournament Chair should be advised that at least 2 to 3 individuals will be required to set up the site at least two hours prior to commencement of the beginning of the tournament.

• Sectional Awards

• Friday Winners will be announced on Saturday
• Saturday Winners will be announced on Sunday during the lunch break
• T-Shirts for females have been purchased

With no further business, the annual meeting was adjourned.
